Reserve Materials

How do I put materials on reserve in the library?

You can work either with the OER staff or Miner Library staff to place required materials on Reserve at the Edward G. Miner Library.

Faculty are encouraged to complete the UR Fair Analysis Worksheet before submitting reserve materials to the library. The Copyright Permission Request Form (PDF) also should be completed if you determine that copyright permission is required for any item on your reserve list. The request will be forwarded to the OER and they will seek copyright permission and pay for any copyright fees.

There are of two types of reserve materials: Closed and Open.

Closed Reserve
Closed Reserve materials are located behind the Circulation Desk and consist primarily of photocopies of journal articles, book reprints, and personal copies of materials that are placed on reserve by SMD and SON faculty for their classes. Closed Reserve materials must be checked out from the Circulation Desk. They can be used within the library for 2 hours but they cannot be renewed or leave the library. The Library will also place books from the collection on Closed Reserve if the instructor has reason to believe the books will be so heavily in demand that not all students will have a chance to use the material without a strictly enforced in-library loan period. Instructors may also place copies of the Library's circulating software collection on Closed Reserve. Software may be taken out of the Library for a two-hour period. Patrons must have a valid and current U of R ID to borrow.

Open Reserve
Books in the Open Reserve area can be used freely within the library. The Open Reserve Collection contains class reserve materials and approximately 160 standard textbooks in clinical medicine and basic sciences. Open Reserves can be checked out 90 minutes before the library closes, but must be returned within the first hour of opening the next day.

Required Readings and Suggested Readings

Because of the limited space available for the Reserve collection, the Library asks that requests be restricted to those books, journal articles and software that are considered essential. Additional references may be listed as suggested readings, giving the students the opportunity to make selections from the circulating collection.

When do I need to do this?

Materials needed during the first weeks of the semester should be submitted at least two weeks prior to the beginning of classes. If you have eight items or more, indicate which ones are to be given high-priority processing.
During peak processing periods, placement of materials on reserve can take up to five days. The process can take longer however, if copyright permission needs to be obtained, if materials being placed on reserve are charged out to another patron, or if the library doesn't own the item. If the library does not own an item, a request for purchase can be made by filling out a form available at the Circulation Desk or by accessing the Request for Purchase form.

Please mail or bring the completed Reserve Forms and any photocopied materials to the Circulation Desk.

Books

Materials Owned By Miner Library

Fill out the Book/Personal Copy Form (PDF), including the call number, for each book listed. If you do not know the call number you can find it listed in Voyager, the online catalog for the University of Rochester Libraries.

Materials Owned by River Campus Libraries

Fill out the Book/Personal Copy Form (PDF), including the call number and the library location (i.e. Carlson, Rhees, etc.), for each book listed. If you do not know the call number or location you can find it listed in Voyager. Note: The host library can refuse to lend materials to us. We will notify you should this occur.

Personal Copies

Fill out the Book/Personal Copy Form (PDF), add "personal copy" next to the entry and place your name in the book to facilitate its return to you. Placing personal copies on Reserve is considered as a last resort.

Photocopies

List each item on the Article Form (PDF) and include author, title and source. The source should include the journal title, volume, number, year and pages for each article. Attach a copy of each article to be placed on Reserve. More than one copy may be placed on reserve depending on the size of the class. Twelve copies of an item may be placed on reserve for classes that are part of the PBL curriculum. Please put your name and extension on each article. We will return your photocopied material to you at the close of your class.

Purchases

The library can purchase books to be placed on a Course Reserve list. Use the Request for Purchase form to initiate any requests. However, our collection development policy does not allow for purchases of required textbooks or exam preparation manuals. If for some reason the item cannot be obtained, you will be notified. Please be advised that all efforts will be made to expedite Reserve purchase requests, but the acquisitions and cataloging process can mean material may not be available for several weeks.

Copyright Information Regarding Reserve Materials

According to the Fair Use Guidelines of the Copyright Law, the number of copies of a journal article, book chapter, or excerpt placed on reserve depends on the number of students enrolled in the class. In most cases, more than one copy is acceptable. If you require more than a reasonable number of copies, please seek copyright permission.

Photocopies of a journal article or book chapter must include a copy of the following:

  1. Title, date, and volume (if from a journal)
  2. The copyright symbol ©
  3. The name of the copyright holder (publisher)
  4. The year of publication

Copyright information for a photocopy from a journal is located on the page with the table of contents or on the reverse side of the title page:

Copyright information for a book is located on the reverse side of the title page:

e.g. © 1990 The C.V. Mosby Company

Articles and chapters photocopied from copyrighted publications and bound into an anthology may not be accepted by Library for the Reserve Collection unless accompanied by letters of permission from the copyright holders.
