Videotaping has been demonstrated to be a powerful tool for student skills development, assessment of competencies, faculty development, and many other educational applications. The successful use of video for such purposes depends upon respect for confidentiality, the use of the equipment only for appropriate purposes, and the mutual trust of students and faculty that the facilities will never be used inappropriately. Toward that end, the following policy will guide the use of the unique video facilities that have been built into the education rooms at URSMD:

  1. All audio and video equipment is operated only from the Control Room on the second floor, which will be locked at all times unless a member of the Office of Educational Resources (OER) is present in the room. Ken Arnold is the OER specialist with primary responsibility for this facility.
  2. The live feed to the Control Room will be off at all times except when the system is being used for an announced educational purpose. In all cases, students will be informed in advance when any session is being taped or sent to the Teaching and Learning Lab from the Control Room. Except when these pre-announced classes or assessment exercises are videotaped, the live feed will always be off (e.g., during all Advisory Dean lunches, during all other classes, off-hours times when students study in the PBL rooms, etc.).
  3. During times when professional staff need to set up or test the equipment, they will first check the TLL to ensure that students who happen to be there will not be exposed to any audio or video outputs from the PBLs, and notices will be posted in all PBLs. Such camera maintenance work will never be done during potentially sensitive times such as Advisory Dean lunches or ICM physical exam sessions.
  4. Students will not only be informed in advance by OER and Course Directors about any PBL or clinical exercise that will be taped, but will also be informed as to whether the use is for their own formative development (e.g., tapes that will be given to them to keep, to monitor their own progress), for a formal assessment (e.g., an OSCE exercise in which a tape might become part of their student record and subject to all the confidentiality of any other part of their educational record), for a faculty development exercise (e.g., so PBL tutors can watch themselves and develop skills in small group facilitation), or any combination of these or any other purpose.
  5. If students are in the TLL and hear or see any audio or video output that is unexpected, they should call Ken Arnold at 5-2132 immediately. Any concerns about violation of confidentiality should be addressed to the SADME immediately.
