The billing system used by the Flow Core is done by the following:

  1. Users reserve time based on the ID they are assigned when they register with the Flow Core.
  2. When the user comes to run on a given instrument, they log in with the same ID provided. The amount of time logged in is then recorded to the minute.
  3. At the end of the month, the amount of time reserved vs the amount of time used for each reservation is checked. The greater of the two is biled for. The total amount of time used each month is then listed by user and sent to the department for bills at the end of the month
  4. The investigator has 10 days to check on any amout of time used. All inquiries are to be directed to Tim.
  5. If no inquiries are made, the account number listed when a user registers will be billed and the amount of money will be deducted from that account.

User Guidelines:

By bringing samples to be analyzed or sorted on any of the Flow Core instruments, compliance is assumed for the following:

  1. For all analysis machines, if you book between the hours of 18:00 and 09:00 the next day, you can cancel same day without charge. Reservations between 09:00 – 18:00 must be cancelled 24 hours in advance, or incur a charge.
  2. If you must cancel after the deadline above, please submit this information via the web based form found off the main flow core page. This provides a written record for both parties.  This will give us time to let others on the schedule know that time may be available.
  3. For the cell sorter, reservations are locked down 48 hours in advance.  The same rules apply.
  4. With the cell sorter, if you are more than 15 minutes late and have not notified us that you will be late (email or phone call 3-1361), we reserve the right to cancel your sort and bill you for reserved time.
  5. Please do not make reservations for a colleague/friend/lab mate.  We have an authorization system to ensure that those trained and approved to use the instrumentation can reserve time.
  6. Billing for analysis is done based on reserved time and/or used time --- whatever is longer.  Using the new reconciliation system, this is being billed to the nearest minute.
  7. Bills will be sent out on a monthly basis.  Please review your bills and if there are issues, please let Tim know.   Fund transfers will be submitted at the end of the month based on either the account provided on the reservation or the default account you set up with us when you registered.
  8. A new system has been implemented with regards to the LSRII instruments in the HIC and Flow Core. There is now a sign up to use the HTS unit for an analysis session. You must sign up for one of the two HTS, otherwise it may not be available for you to use. In order to reserve either HTS, use the same method as you would to reserve an instrument on the reservation calendar.

If you have any questions or concerns, please don’t hesitate to contact Tim directly to discuss them.
