We would like to take this opportunity to congratulate Thomas L. Campbell, MD, Chair of the URMC Department of Family Medicine, who was recently named president-elect of the Association of Departments of Family Medicine. Among his many activities, Dr. Campbell has been invaluable to our Office of Continuing Professional Education as a member of our CME Advisory Committee. Congratulations Tom!

As we wrap up what has been a very busy spring season, we want to express our thanks to the many Activity Directors and faculty members for making our educational offerings such successes. Through their leadership and vision, we have been able to bring in New York Times Bestselling Author, Melanie Thernstrom as a speaker (April - Advances in Pain Management; Activity Director, John Markman, MD), provide progressive education among a broad spectrum of clincial areas in a "Green" format (April - CTSI: Applying Science to Benefit Health Care Reform; Activity Directors, Richard T. Moxley, III, MD and Randy Rosier, MD), and provide a host of alternative teaching techniques (April - Cardiology Spring Update 2011; Activity Director, Ronald Schwartz, MD). Looking ahead, Dr. Eva Pressman has prepared another strong agenda and set of speakers for the 24th Annual Rochester Conference in Perinatal Medicine that will take place May 26th at the URMC.

As always, we welcome your input and would be happy to hear from you about our CME programs or to discuss how our office might better support your needs.

The Scoop on CME

The Bottom Line Part I: Activity Expenses

In the last issue, we outlined logistical considerations for CME activities such as audience, location, and date. This month, we move forward to discuss the financial impact of activity logistics on your conference's bottom line.

There are many expenses that occur in conjunction with planning and running an educational activity. It is important to remember your budget in order to plan a successful meeting. A good way to start outlining the budget is to recall all the areas we have discussed in the series thus far.

Costs associated with getting to "who." Who is the intended audience? How will they find out about the meeting? Do you have a mailing list or will you need to purchase one? Will your advertising and registration be online or by post? Is the audience internal? Can you reach them with posters or flyers? Or, should you place advertisements in national journals to attract specialists from across the country? Activity and marketing costs are typically in line with the size and location of your audience. Other "who's" to consider are the speakers. Will you be paying an honorarium? Have you invited out-of-town experts who will need their travel and expenses covered?

What/Where/When: Educational credit for each specific discipline will often carry application fees. These fees are based on different criteria and can often be found on the accrediting body's website or within the applications' directions. Additionally, the format in which you offer the education will impact your expenses. What type of syllabus materials will you prepare - printed or electronic? Regardless of format, there may be charges to gain copyright permissions for some types of handouts. How long is your meeting? Whether you choose to hold your meeting at a hotel or here within the medical center, there will most likely be room rental charges. Do you plan to utilize more interactive learning tools to engage your learners, such as using an audience response system? Some venues include audio/visual equipment charges as part of their rental fees, many do not. Personnel to run the A/V will also be an expense for most large meetings. You may also need to look at catering and food service costs. If your conference will take place out of town, don't forget the travel and expenses for you, your staff, and conference faculty. These expenses will may be affected by the time of year.

As illustrated, there are planning considerations that represent line items on a master budget. So where will the money come from to pay for your activity? We'll discuss that in the June issue of CME-Update.
