Chapter 4: Recruitment Documentation

4.1 Job Postings

  • Required when hiring a paid faculty member, regardless of FTE
  • Faculty job openings are published within UR Faculty (the university’s faculty information system)
    • May be published before a recruitment form is initiated
    • Must be posted for 30 days before an offer may be made to a candidate
    • A position must be created in myURHR first and integrated into UR Faculty. Refer to the UR Faculty Administrator’s Guide.

4.2 Faculty Recruitment Forms

  • Required for full-time or part-time positions (PT = 0.5 FTE or greater)
  • Required for faculty moving from VOL to paid, or from training status (fellow) to faculty
  • Download current version from our website.
  • Refer to SMD Faculty Recruitment forms and documents

4.3 Offer Letters

  • Required for paid faculty, regardless of FTE or rank
  • Refer to Box folder called SMD Faculty Recruitment Forms and Documents
  • Required for faculty changing status from FT or PT to TAR. 
  • Offer letter templates: access via Box/Offer letter materials. 
    • Designated department staff member who facilitates offer letters is granted access
    • Notify Office of Academic Affairs when a change in access is needed.

4.4 Faculty Employment Status and Benefits Eligibility

  • Full-time: 100% effort (1 FTE): UR benefit eligible
  • Part-time: 50-99% effort (0.5-0.99 FTE) UR benefit eligible
  • Time-As-Reported: less than 50% effort (≤ 0.49 FTE): Statutory benefits associated.
  • Contact the Office of Total Rewards for specific benefits eligibility and questions
  • Vacation for faculty (see the Regulations of the Faculty)
